About
Gympanzees is developing a new inclusive activity and therapy centre in Bristol, designed to support children and young people with disabilities and additional needs. To support the delivery of this complex, multi stakeholder project, I developed a project management and programme coordination system that centralised tasks, deadlines, responsibilities, and critical milestones across multiple departments. The aim was to improve visibility, reduce manual administration, and provide a clearer structure for managing the project as it progressed.
Achievements
Streamlined task management by approximately 70%, significantly reducing the time previously spent manually tracking actions and deadlines. Created a centralised programme management system, allowing all project information, responsibilities, and milestones to be managed in one place. Improved coordination between departments by introducing linked task ownership, clear dependencies, and critical date tracking. Reduced duplication and inconsistencies by automating updates across project schedules, deadlines, and reporting views. Increased project visibility, making it easier to identify delays, prioritise actions, and keep stakeholders informed. Introduced a more structured and scalable approach that could continue to support the project as it grew in complexity.
The project involved supporting the development of a new centre for Gympanzees, a complex initiative involving multiple workstreams, stakeholders, and interdependent tasks. At the outset, much of the project management process relied on separate spreadsheets, manual tracking, and fragmented information. This made it difficult to maintain oversight, identify priorities, and understand how delays in one area could affect the wider programme.
To address this, I designed and implemented a bespoke programme management system tailored to the needs of the project. Rather than simply recording tasks, the system linked together responsibilities, deadlines, dependencies, and department priorities into a single coordinated structure. This created a much clearer view of the programme and allowed the team to understand not only what needed to be done, but also when, by whom, and how it affected the overall project.
A key focus was reducing the time spent on repetitive administration and improving the reliability of information. Tasks, deadlines, and project milestones could be updated in one place and reflected automatically across the wider programme. This reduced manual effort, improved consistency, and allowed more time to be spent on decision making and project delivery.
The system also helped the team move from a reactive approach to a more proactive one. Potential delays, resource clashes, and missed deadlines became easier to identify earlier, enabling faster action and better coordination between departments. The result was a more organised, efficient, and scalable way of managing the project, supporting the successful development of the new Gympanzees centre.
